Privacy Policy

CapFig ("we," "us," or "our") respects user privacy. This Privacy Policy describes how the CapFig Google Docs add-on ("Add-on") accesses, uses, stores, protects, shares, retains, and deletes data when users ("you") use the Add-on.
The CapFig Add-on is used to manage references to figures, tables, and similar items within Google Docs.
1. Data Accessed
Google User Data
When you use the CapFig Add-on, it accesses the following Google user data only while the Add-on is active in a document:

Google Docs document content:
- Text within the open Google Doc, limited to the portions necessary to insert, update, or synchronize figure, table, and item references created by the user.

User-created item data:
- Labels, titles, and identifiers (e.g., "Figure 2: Results") entered through the Add-on interface.
Non-Google Data
To use the Add-on, users register for a CapFig account at https://capfig.com and provide:
- Email address
- Password
These credentials are separate from Google authentication and are not derived from Google account data.
2. Data Usage
Google User Data
Google Docs content accessed by the Add-on is used solely to:
- Insert, update, and synchronize figure, table, and item references at the user’s direction
- Read existing references to ensure numbering and labels remain consistent
Google Docs content is processed only to perform the requested Add-on functionality and is not used for any other purpose (e.g., analytics, advertising, profiling, and machine learning).
Email Addresses
Email addresses are used solely for the purposes of:
- User authentication
- Authorization to access CapFig services at capfig.com
- Account-related communication (e.g., access or support requests)
Email addresses are not used for marketing, tracking, or advertising purposes.
3. Data Sharing
CapFig does not sell, rent, trade, or share Google user data or personal information with third parties.
Specifically:
- Google Docs content and Google-related user data are not shared with any third parties
- No Google user data is used for advertising or analytics
- No Google user data is transferred outside the Add-on except as required to perform core functionality
User-created item data (labels and titles) is securely stored and retrieved via a CapFig-operated web service API hosted at capfig.com. This data is used only to support synchronization and consistency across documents.
4. Data Storage & Protection
CapFig employs industry-standard safeguards to protect all user data:
- Secure Communications: Our products are delivered to users via HTTPS, ensuring encrypted communication.
- Access Controls: Server access is secured by encrypted keys, two-factor authentication (2FA), and hardened firewalls, limiting access to authorized individuals.
- Regular Audits: We conduct regular "black box" and "white box" security audits by independent third parties to identify and address vulnerabilities.
- Physical, Electronic, and Procedural Safeguards: We utilize a combination of these safeguards to protect against unauthorized access, disclosure, alteration, or destruction of information.
5. Data Retention & Deletion
- Email addresses and user account data are retained only for as long as the account remains active or as needed to provide the service.
- User-created item data is retained only to support Add-on functionality and synchronization.
Deletion
- Users may stop data collection at any time by uninstalling the Add-on.
- Users may request deletion of their CapFig account and associated data by contacting us using the support contact listed in the Google Workspace Marketplace listing.
- Upon verified deletion requests, data is permanently removed within a reasonable timeframe, subject to technical and legal requirements.
6. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Continued use of the Add-on after changes take effect constitutes acceptance of the updated policy.
